Your Role

The PMO & Project Portfolio Specialist supports the establishment and consistent application of project management standards and portfolio reporting. The role ensures transparency, structured processes, and reliable reporting across projects. It contributes to efficient portfolio coordination through data-driven in-sights and AI-supported tools.

The role of PMO & Project Portfolio Specialist will involve:

  • Implement, maintain and improve project management standards
  • Apply and further develop project management templates, guidelines, and documentation standards
  • Support implementation of stage-gate processes and documentation standards aligned with regulatory and quality requirements
  • Monitor adherence to standards and initiate practical improvement
  • Facilitate project review and stage-gate meetings and ensure proper documentation
  • Support portfolio governance and coordination
  • Prepare and coordinate portfolio review meetings by consolidating project status, key risks, milestones, and financial data
  • Maintain and update portfolio overviews, including capacity and resource allocation tracking across projects
  • Support transparency on resource demand versus availability and highlight bottlenecks or conflicts
  • Ensure structured documentation of portfolio decisions and follow-up actions
  • Develop and maintain dashboards and AI-supported reporting
  • Create and maintain standardized dashboards covering schedule, budget, risks, and regulatory milestones
  • Utilize AI-based tools to automate reporting, data validation, meeting summaries, and administrative tasks.
  • Support basic forecasting and trend analysis to improve portfolio visibility.
  • Provide operational support to project managers
  • Assist project managers in planning, status tracking, and documentation
  • Facilitate lessons learned sessions and support continuous improvement initiatives
  • Promote consistent use of tools and reporting standards.

As a PMO & Project Portfolio Specialist you will have:

  • Bachelor’s degree in Business Administration, Engineering, Life Sciences, or related field.
  • Project management or agile certification is an advantage.
  • 2–5 years of experience in Project Management, PMO, or similar coordination roles.
  • Experience in a regulated, technical, or manufacturing environment preferred.
  • Exposure to portfolio reporting or governance processes beneficial
  • Solid Understanding of project management methodologies and stage-gate processes
  • Awareness of documentation and quality standards in regulated industries
  • Proficiency in MS Excel and PowerPoint; first experience with BI tools
  • Experience using digital collaboration tools and at least first experience in AI-enabled automation solutions
  • Ability to structure and consolidate data clearly and accurately
  • Structured and detail-oriented working style.
  • Strong communication and coordination skills.
  • Analytical mindset with problem-solving capability
  • Fluent in English
