About the Role
We are a fast-growing logistics and trading company operating in a high-value, precision-driven environment.
We are hiring an experienced operations professional who can take ownership of invoicing execution, inventory control, pallet tracking, and shipping coordination, and design systems
that make errors structurally impossible.
This is not a passive administrative role. You will not only execute operations. You will
improve and structure them.
Your mission:
Build and run a reliable operational system that protects inventory accuracy, prevents costly
mistakes, and frees management to focus on growth.
What Success Looks Like
● Invoices sent within 1 hour of order completion
● ≥ 99% inventory accuracy
● 100% daily pallet tracking updates
● Discrepancy rate under 1%
● Weekly reporting delivered consistently
● Clear operational systems documented and implemented within the first 3–6 months
We operate in a high-value logistics environment where a single pallet error can represent
thousands of euros. Precision and prevention are critical.
Core Responsibilities
1\. Operational Execution
● Approve and send invoices (Xero)
● Manage monthly invoicing below €1,000 independently
● Monitor stock levels and update daily
● Track pallets in Excel and reconcile weekly
● Coordinate shipping confirmations and issue resolution
2\. System Development \& Improvement
● Evaluate current inventory and pallet tracking processes
● Design structured workflows to reduce error risk
● Improve tracking systems (Excel or other tools)
● Implement controls to ensure ≥99% accuracy
● Document processes clearly for scalability3\. Operational Ownership
● Proactively identify inefficiencies
● Escalate structural risks early
● Support system automation where relevant
● Assist management with data-driven reporting
KPIs
● ≥ 99% inventory accuracy

Profile
Required
● Fluent in English, Portuguese, and French
● 3–5\+ years experience in operations, logistics, or supply chain
● Strong numerical and analytical skills
● Advanced Excel (pivot tables, structured tracking, controls)
● Experience with accounting software (Xero preferred)
● Highly structured and process-oriented
● Independent and accountable
Strong Advantage
● Experience setting up inventory systems
● Experience reducing operational error rates
● Background in supply chain or trading environments
We are looking for someone who builds structure, not someone who waits for instructions.
Compensation
We are intentionally hiring an experienced profile for this role.
Salary range: €2\.000 – €2,500 nett/month, depending on experience and demonstrated
operational capability.
*\+ A performance-based bonus structure is offered in addition to the base salary.*
This role directly protects high-value inventory and operational profitability. Compensation
reflects that responsibility.
